We request indicative numbers of pax booked on the tour at least 3 months ahead of departure.  We would appreciate final numbers 8 weeks before departure.  We must release unwanted rooms no later than 30 days before departure in order to avoid cancellation charges. Any subsequent bookings remain subject to hotel availability.

We require names as on passports to block the seats.  We will be given a ticketing date and we can extend this as long as seats remain available.  Once the final ticketing date is reached, we will need copy passports for the confirmed pax in order to issue the tickets.  Those seats not ticketed by the ticketing date will be automatically released.  Flight bookings are always subject to availability and you should check with us to ensure there are still seats available for the required dates before taking confirmed bookings.

We will submit our tour invoice 8 weeks before departure.  Payment is to be made in US$ by bank transfer to the Bank of Bhutan via Standard Chartered Bank in New York.  Details for the transfer will be provided with the invoice.  The sum of $35 will be included on the invoice to cover bank charges.  Receipt of payment in Bhutan is required before visas can be authorised.

Cancellation policy for tours is as follows:

  1. Earlier than 30 days before the start of the tour: no charge
  2. Between 30 and 22 days before the start: 15% of the rates
  3. Between 21 and 15 days before the start: 25% of the rates
  4. Between 14 and 8 days before the start: 40% of the rates
  5. 7 days or less before the start, or cancellation without notice: 60% of the rates
  6. After arrival in Bhutan: 100% of the rates.

Note that if using luxury hotels then separate cancellation charges apply as per the policy of the individual hotels – please ask for details if applicable.

We will pay for flights in advance if requested in order to secure the bookings.  We reserve the right to invoice you for an advance payment to cover the flight tickets if necessary, to assist with cash flow and in that event, we request payment of the invoice within 7 days.
